Terms of Trade
When booking a room
The guest can cancel the reservation in good time without charge until the day before arrival at 12:00. Cancellation later than this will incur a fee equal to the total price of the stay, plus any additional purchases.
Cancellation must be made by email to Info@fakkelgaarden.dk with the subject: CANCELLATION.
If the guest does not make a reservation, Fakkelgaarden equates this with a cancellation and the reservation will be paid in full.
Reservation changes are considered cancellations if they result in a shortened stay or a reduction in the number of rooms. Any additional purchases can also be cancelled up until the day before arrival at 12:00, after which they will be charged in full.
When booking accommodation packages
When booking accommodation packages, the price of the stay will be charged to your payment card at the time of booking. The booking is then non-refundable, but can be changed to another date, although there may be a price difference depending on the season.
When booking tables for groups
When booking a table for 8 people or more, the following cancellation policy applies: Cancellation must be made no later than 24 hours in advance. After that, 50% of the pre-ordered amount must be paid. Reduction of numbers up to 20% is accepted on the day.
When booking a table for special event evenings
When booking our special event nights, payment is due at the time of booking, after which the guest is entitled to cancel the booking without charge up to 14 days before the event. After this, the guest is not entitled to a refund.
Group reservations
When booking 4 rooms or more, the following cancellation policy applies:
- Until 12:00, 8 weeks before arrival, the guest can cancel up to 100% of the reservation free of charge.
- Until 12:00, 4 weeks before arrival, the guest can cancel up to 50% of the reservation free of charge.
- Until 12:00, 7 days before arrival, the guest can cancel up to 25% of the reservation free of charge.
- Until 12:00 the day before arrival, the guest can cancel up to 10% of the reservation free of charge.
- If cancelled after 12:00 the day before arrival, the reservation will be charged in full.
Arrival
Rooms are available from 2:00 PM on the day of arrival.
Departure
Rooms must be vacated by 10:30 AM on the day of departure.
If the room is left later than the above times, Fakkelgaarden may require payment for an extra night.
Liability
Both the guest and Fakkelgaarden are obliged to comply with the reservation agreement.
However, in the event of force majeure and force majeure-like situations, Fakkelgaarden cannot be held liable for cancellation without notice. Force majeure is understood to mean extraordinary circumstances that are beyond Fakkelgaarden’s direct control, including, among others, fire, water damage, strike/lockout, and illness of the staff.
Any compensation in connection with non-compliance with the agreement in all cases other than force majeure cannot exceed the total price of the reservation and any indirect losses, such as loss of profit, are thus not covered.
Valuables/luggage storage etc.
Fakkelgaarden cannot be held responsible for the loss or theft of valuables/luggage in rooms, in the restaurant or in other areas of the hotel.
Forgotten items
Valuables and/or luggage left or forgotten in rooms and hotel areas will be stored for 3 months after departure. Items can be returned for a handling fee of DKK 100,- plus shipping costs.
Parking
Fakkelgaarden cannot be held responsible for vandalism or theft of/in the parked vehicle on the hotel grounds.
Cleaning
Room cleaning is done daily between 11 am and 2 pm.
Fakkelgaarden is entitled to omit cleaning if cleaning is made difficult by luggage or other items belonging to the guest. For stays longer than three days, bed linen will be changed as needed.
Conferences & major events
A deposit is required for all booked events.
From min. 5,000, – For smaller companies (20-35 people)
From min. 10,000, – For larger companies (35+ people)
Deposit is 10% of the total reservation, and is paid upon confirmation of the event. 10 business days prior to the event, a payment link for 50% of the total reservation is sent, which is paid together with feedback on the final number of participants no later than the week before. The number is then binding. The final payment is calculated and paid upon departure or sent by agreement.
The entire conference / event including rooms and premises: the event can be cancelled, free of charge, no later than 3 months before arrival. If this is done after this deadline, Fakkelgaarden will charge 50% of the agreed amount.
If the conference/event is cancelled less than 30 days before arrival, 100% of the confirmed event must be paid.
Final notification of numbers must be given no later than 7 days before the event.
However, in the event of force majeure and force majeure-like situations, Fakkelgaarden cannot be held liable for cancellation without notice. Force majeure is understood to mean extraordinary circumstances that are beyond Fakkelgaarden’s direct control, including, among others, fire, water damage, strike/lockout, and illness of the staff.
Reservations are usually made for government intervention in the hotel industry, such as tax changes or similar, which justify corresponding price increases.
When holding private parties such as birthdays, weddings, etc., the party-holder is obliged to compensate for any damage caused to the hotel’s equipment. This can be done in the form of their insurance or otherwise.
All prices are total prices including VAT, service and environmental surcharge.
A fee will be charged for payment by credit card in accordance with applicable law.
Gift card
Gift cards purchased at Fakkelgaarden Hotel and Restaurant are valid for 3 years from the date of issue, cf. the Danish Sales Act. There is also a 14-day full right of return on purchased gift cards.
After that, the value of a gift card can always be used when ordering our products and services.
If you do not use the entire amount, you will receive the remaining amount on a new gift card.
(the expiration date will remain the original).
The gift card cannot be exchanged for cash. It is not possible to exchange your gift card for a new gift card.
Your gift card is a bearer certificate. This means that the gift card cannot be replaced if you lose it. It will always be the person in possession of the gift card who can redeem it. The gift card can be equated with cash, which will also not be replaced if you lose it.
